Offboarding

Use this page when a person, an administrator or your organisation leaves.

A person leaves

  1. Disable the account in Entra. An account that Entra disables loses its open session at the next re-check, within 15 minutes.
  2. To end the sessions of a person at once, choose End sessions in People.
  3. To stop the person from signing in, choose Remove and block. livewells refuses their sign-in until you unblock them.
  4. An administrator you block also loses the API keys they made.

Each block and each unblock writes an audit entry.

An administrator leaves

  1. Make a second person an administrator before the change. To change a role, choose Administrator, Analyst or Read-only for the person and choose Change role.
  2. When your organisation requires an app role to sign in, disable that rule first. People does not change roles while the rule is on.
  3. Change the role of the leaving administrator, or choose Remove and block. A change of role ends all sessions of that person.
  4. When a person stops being an administrator, livewells revokes the keys that person made.

livewells refuses to remove or demote the last administrator.

Your organisation ends its use

  1. Export the audit log. An administrator chooses Export JSON or Export CSV.
  2. Export each case you want to keep. An analyst can export a case.
  3. Revoke the API keys and remove the webhook endpoints.
  4. Delete cases. An administrator opens a case and chooses Delete case. To delete older cases, shorten Retention. livewells asks you to confirm.
  5. Open the billing portal and cancel the plan at the end of the period. Billing then shows Ends on and the end date.

Entries for sign-in, sign-in refusals, API keys, webhook endpoints, administrators, sign-in providers, downloads and deleted cases stay for at least 365 days, even when your retention period is shorter.
